
To mark the 55th anniversary of the Vocational Rehabilitation Center (VDC) Tončke Hočevar, we organized Tončka’s Picnic, bringing together over five hundred guests. Among them were users and their families or guardians, volunteers, partners, colleagues, and other friends of VDC Tončke Hočevar.
The picnic took place at Zajčja Dobrava Inn, located in a forest clearing within the Ljubljana Polje landscape park. We transformed the courtyard and interior of the inn into an amusement park where something was always happening. The diverse layout of the garden and smaller side elements of the inn allowed us to set up various themed corners for various activities.
At the central part of the outdoor garden, we arranged a dedicated area for the main event. Here, we placed a roofed stage with a sound system for performers, a dance floor with a ramp and roof, and additional cover for the central section of the outdoor garden and event performers. Considering the unpredictable weather forecast, we also set up covers for outdoor themed corners such as the photo section with a photo wall and balloon arch, the photobooth, face painting corner, and the VDC’s Skrbovin’ca store.
Next to the registration desks positioned at the entrance to the outdoor garden, we displayed seven portable freestanding panels showcasing the development of the operation of the first such institution in Slovenia. We further decorated the entire venue with balloons matching the colors of the client’s corporate identity.
For an entertaining experience, we treated guests at the central event area to a lively and interactive magic show for all ages. Additionally, there was an exclusive one-hour musical performance by singer Tanja Žagar, musical and dance performances by VDC Tončke Hočevar users, animation by two stilt walkers distributing winning raffle tickets at every turn (all tickets were winning), a balloon artist, and a mini exhibition of exotic animals, which we moved indoors due to the poor weather forecast.
In MA Marketing, we took care of:
- Event program development
- Event direction and execution
- Selection and coordination of external contractors
- Creation and distribution of invitations and other event-related e-communications
- Stage setup (including stage with roof for performers, dance floor with ramp and roof, additional roofs for the central part of the outdoor garden and performers, portable toilets, decorations with colorful helium balloons, transportation, assembly, and disassembly)
- Preparation of themed corners (photo booth, ice cream and slushy corner, mini exhibition of exotic animals, face painting, VDC store, beekeeping corner, etc.)
- Organization and execution of activities in the central section and coordination of all performers (fun and interactive magic show, program coordination, musical performance by Tanja Žagar, stilt walkers, and musical and dance performances by VDC Tončke Hočevar users)
- DJ services (throughout the event)
- Design, production, and printing of all graphic and other materials (large banner at the entrance, raffle tickets, signposts, stall signage, photo cutout board, food coupons, portable panels for displaying the development of the institution’s operation, etc.)
- Additional staff (hostesses, security guards, and traffic directors who directed traffic in the parking lot)
- Organization of bus transport for invited guests
- Photo and video services (event photography and filming, production of a short video summary, and a separate statement by the director)
- Promotional materials (raffle gifts)
- Event presence and supervision, and final reporting
